Workflow automation services

n8n / Make / Zapier / Custom APIs

Less copying.
Better handoffs.

Workflow automation services for the work between your tools. I connect forms, CRMs, WooCommerce and internal systems so your team can spend less time moving the same information around.

Useful connections / Clear ownership

02 / The work

Workflow automation services for the gaps.

A lead arrives through a form, but someone still has to copy it into the CRM. An order is paid, but fulfilment waits for an email. A report depends on three exports and a spreadsheet only one person understands. These are good places to investigate before buying another tool.

01

Lead capture and routing

Move a validated enquiry into the right CRM record, assign an owner and create the next task. Define what counts as a duplicate and what should happen when an address or required field is missing.

02

Commerce operations

Connect WooCommerce events with fulfilment, reporting and internal systems. Keep payment confirmation, stock changes and customer messages tied to the right business event.

03

CRM and internal handoffs

Synchronise the records that teams actually need. Agree which system owns each field, how updates are matched and how conflicts are reviewed before information is overwritten.

04

Reporting and reconciliation

Bring data into a repeatable reporting flow and flag exceptions for review. A useful report should make missing records visible as well as showing the successful runs.

05

Approval-based AI steps

Use AI for tasks such as classifying an enquiry or drafting a summary when it helps. Keep sensitive actions behind agreed permissions, validation and a human approval step.

06

Existing workflow repair

Review unreliable automations before adding more steps. Trace failed runs, broken mappings, expired connections and duplicate events, then improve the part that causes the operational problem.

The right workflow depends on your data, application access and operating process. We agree the scope before implementation.

03 / The platform

Choose the tool around the workflow.

I work with n8n, Make, Zapier and custom PHP or Node.js integrations. The choice starts with the systems involved, the volume and timing of events, and the people who will operate the result.

n8n when infrastructure ownership matters

n8n can run on your own infrastructure. That can be useful when deployment control is part of the requirement, but it also introduces responsibility for updates, credentials, storage and recovery. We consider those operating costs alongside the workflow itself.

Make or Zapier for connected application workflows

A hosted workflow platform can be a practical fit when the required connectors and controls suit the task. I review the current application support, data mapping, error paths and account limits before choosing the implementation. Platform subscriptions are scoped separately from development.

Custom APIs when the business rules need code

Some behaviour belongs inside an application or a small integration service. A custom endpoint may be a better fit for a specialised rule, a missing connector or a process that needs closer control over validation and state. The aim is a maintainable system rather than the largest possible workflow graph.

For technical context, see the n8n hosting documentation and Make error-handling guide. Exact capabilities and account requirements are checked during discovery.

04 / The process

Build the failure path too.

  • Map the current process, the trigger and the person who owns the outcome.
  • Agree data fields, matching rules, permissions and the source of truth.
  • Build one useful workflow and test it with realistic sample data.
  • Check rejected requests, missing fields, repeated events and unavailable services.
  • Document the operating steps, alert route and recovery process.

Retries need limits. Repeated events need a stable way to recognise work that has already completed. An error alert needs an owner who can act on it. I include these questions in the scope so the workflow is easier to operate after launch.

For example, an enquiry workflow might validate a form submission, find or create the CRM contact, assign the lead and notify the team. If the CRM is unavailable, the enquiry should remain recoverable rather than disappear behind a successful-looking form message.

05 / The handover

Make ownership practical.

Workflow automation services should leave your team able to understand what was connected and why. The agreed handover can include a process map, field mapping, configuration notes, a test record and a short operating guide.

Credentials belong in an appropriate secret store or platform connection, with only the access the workflow needs. We agree who owns the accounts and who maintains the integration. Ongoing monitoring, support and changes can be scoped separately.

For a WordPress-specific AI feature, see WordPress AI integration. For functionality that belongs inside the application, explore custom plugin and API development.

06 / Questions

A few useful details before we start.

Yes. Share the platforms involved, what the workflow is meant to do and examples of the failure. A review can establish whether the issue is in the trigger, permissions, mapping, business rules or the way errors are handled.

No. Many workflows are better served by explicit rules, validation and a clear data model. AI is considered when the task benefits from interpretation, with review and permissions suited to the action.

No. The platform is chosen around the workflow, available integrations, access requirements and your team’s ability to maintain it. I can review n8n, Make, Zapier or a custom integration as part of discovery.

We agree a baseline for the current process and a practical acceptance check. That can include time spent on manual steps, failed handoffs or records that need reconciliation. The measure should reflect the workflow your team actually operates.

Describe the task, the applications, the data that moves between them and roughly how often it happens. Include the current manual steps, the failure that matters most and any deadline or access constraint.

Start with one workflow worth fixing. Share the tools, the current handoff and the outcome you need; we can work out the next useful step.
